Why downloads are slow for clients overseas, and how to fix it

You send a client in Singapore the same file you'd send someone across town. Your upload flies. Their download crawls, and now they're wondering if the link is broken. Nothing about the file changed, and their internet probably isn't bad either. Distance genuinely slows a download down, and so do a few other things that have nothing to do with what you sent. Here's what's actually happening, and what you can do about it before a client assumes the worst.

Distance is a real cost, not an excuse

Every byte between a server and a laptop travels through a chain of network hops, and each hop adds a small delay. Send from a server on one continent to a client on another and those delays stack up. Two computers spend part of every exchange just waiting for confirmation to travel there and back, and that wait, called latency, grows with distance no matter how good the connection is at either end.

That's why a client thirty minutes from your studio grabs a 4K export in a minute, while a client on the other side of the world watches the same file crawl. Nobody did anything wrong. The bytes just have farther to go.

The four things that actually slow a download down

  • Distance to wherever the files are stored. The physical hop count between the server and the recipient sets a speed ceiling before anything else comes into play.
  • The recipient's own connection. Wi-Fi, a shared office network, or a VPN routing traffic through a third country will all slow down a download that would otherwise be fine.
  • Time of day, on their end. A download competes with everyone else on the same network path, so a transfer that flies at 7am local time can crawl during that country's evening peak.
  • How the tool actually serves the file. Some services build a zip on their own server before the download can even start, so the recipient waits through a step they can't see happening, on top of whatever distance is already costing them.

Where the files are stored matters more than people think

ZappFiles stores files in multiple regions, and by default automatically picks whichever one is closest to you when you upload, for the fastest possible send. That's the right call most of the time, but if your recipient is on the opposite side of the world from you, the fastest upload for you can mean a slower download for them.

On Pro and Max, you can override that default and manually pin a transfer to Eastern US, Western US, Europe, or Asia, covered in the upload settings guide. Pick the region closest to the person receiving the files, not yourself, whenever you know where they'll be opening the link. It's also the same setting that lets you keep data on a particular continent for a client contract, detailed on the security and privacy page.

The download itself matters too. ZappFiles starts streaming a zip the moment the recipient clicks download, instead of building it server side first and making them wait through a step they never see. On a large transfer, that alone can be the difference between a download that starts right away and one that appears to have stalled before it even began.

A wired connection also beats Wi-Fi for anything large, on either end of the transfer, which is worth suggesting before assuming anything is actually broken. The full troubleshooting rundown is in the download issues guide.

What actually helps before you resend anything

  • Pick a region close to the recipient, not to you, when you're sending overseas and know where they are.
  • If you're sending the same delivery to people spread across several countries, leave the region on Default. Optimizing for one country's location just slows someone else's download down instead, more on that in how to send large files to more than one person at once.
  • Ask them to try again outside their local peak hours before assuming anything is broken on your end.
